ETHICS, INTEGRITY & TRANSPARENCY Synergy Center for the Neuroscience of Coaching & Leadership operates with a commitment to ethical practice, integrity in instruction and business operations, and transparent communication with participants. Faculty and staff align with the International Coaching Federation (ICF) definition of coaching, ICF Core Competencies, and the ICF Code of Ethics in teaching, mentoring, supervision, assessment, and participant support. Program expectations, completion requirements, fees, policies, learning outcomes, and evaluation processes are communicated in writing prior to participation. Participant records are maintained securely, confidentiality is protected, and student data is stored in access-controlled systems. Participant records related to enrollment, attendance, mentor coaching, and performance evaluation are retained for a minimum of three years. Credentials, program status, and offerings are represented accurately in all communications.

COMPLAINT AND GRIEVANCE POLICY Participants are encouraged to address concerns directly with instructors or administration when appropriate. Formal complaints must be submitted using the Complaint Submission Form located in the help desk portal and must include participant name, program and cohort, description of concern, and relevant dates. Complaints are acknowledged within five business days and reviewed by program leadership. A written response is provided within thirty business days. Retaliation against participants submitting complaints in good faith is prohibited.

PARTICIPANT RESPONSIBILITIES Enrollment constitutes agreement to participate in live sessions, practice coaching, assignments, and assessments required for program completion. Participants must maintain a respectful and professional learning environment consistent with ethical coaching practice. Disruptive, unsafe, or unethical behavior may result in removal from the program. Participants must maintain confidentiality regarding practice coaching conversations and personal information shared during the program. Coaching competency development requires demonstration of skill through practice, feedback, and evaluation.

ATTENDANCE REQUIREMENTS Participants must attend at least 85% of required live sessions. Allowable absences are determined by the total number of sessions in each program and published prior to enrollment. Missed sessions may be replaced only up to the allowable absence limit through the make-up process, which includes viewing the recording and completing the make-up quiz with a passing score. Participants who exceed allowable absences are not eligible for program completion or credentials.

For participants pursuing ICF credentialing pathways: Mentor coaching is required and is delivered over a minimum of three months. Mentor coaching sessions are live and not recorded. Missed sessions must be rescheduled subject to availability. Individual mentor coaching sessions not rescheduled at least 48 hours in advance incur a $100 rescheduling fee.

COMPLETION REQUIREMENTS AND PARTIAL COMPLETION Program credentials are issued only after attendance requirements, assignments, and performance evaluations are completed. Mentor coaching must be completed for participants pursuing ICF credentialing pathways. Participants who do not complete all requirements within the scheduled program timeframe are not eligible for program credentials. Synergy Center does not offer program deferrals, transfers, or placement in future cohorts. In extraordinary and documented circumstances, Synergy Center may review accommodation requests at its sole discretion and subject to program availability.

TRANSFER OF CREDIT POLICY Synergy Center does not accept transfer of credit from other coaching training programs. All required contact hours, practice coaching, assignments, and assessments must be completed through Synergy Center programs.

PROGRAM MODIFICATIONS Synergy Center may adjust scheduling, faculty assignments, or delivery format when necessary. Required contact hours, learning objectives, and assessment requirements remain unchanged.

PAYMENT AND FEES POLICY Program tuition and fees are published prior to enrollment. Participants using payment plans must complete all scheduled payments. Failure to maintain payment obligations may result in suspension of program access until the account is current. All tuition and fees must be paid in full before credentials are issued. Tuition changes apply only to future cohorts.

Administrative fees include a $150 late final assignment submission fee for assignments submitted more than two weeks after the program end date.

For participants pursuing ICF credentialing pathways: As a requirement for ICF accreditation, participants must complete mentor coaching sessions and pass a final performance evaluation. Individual mentor coaching sessions rescheduled with less than 48 hours notice incur a $100 rescheduling fee. Additional performance evaluation sessions may be purchased at $100 per hour.

No other administrative or mentor coaching fees are charged unless stated prior to enrollment.

ILLNESS POLICY Participants unable to attend due to illness must complete the attendance make-up process. Attendance requirements remain in effect. Participants experiencing illness that affects program completion must notify administration promptly. Mentor coaching sessions must be rescheduled according to mentor coaching policy.

In cases of extended illness or documented hardship that prevent program completion, participants may request consideration for enrollment in a future cohort. Such requests are reviewed at Synergy Center's sole discretion and are subject to program availability and space limitations. Re-enrollment is not guaranteed.

ETHICAL MARKETING POLICY Synergy Center represents programs, faculty qualifications, and outcomes accurately. Program requirements and completion expectations are provided prior to training. Synergy Center does not guarantee employment, income, business success, certification, or ICF credentialing outcomes. Programs are not represented as ICF-accredited until accreditation is formally granted. Marketing communications reflect professionalism and integrity.
